Expenses

Keep the purchase, discount and refund in the right columns.

Check the final charge after discounts and taxes. Keep returns, refunds and store credits distinguishable from new purchases, and retain item details when your reporting policy needs them.

How should I handle a return?

Keep the original purchase and refund evidence linked. Do not turn the refund into a new positive expense or erase the original trail to make the report look simpler.

How WorkSpotHQ helps

Receipt Processor

In Receipt Processor, add the receipt and choose Process receipt. Compare the editable details with the image. Use Adjust crop if the edges are wrong, or Re-read automatically if another reading is needed. Choose Save to My Receipts after checking the values; use Send now only after reviewing the report and recipients.

Your next steps

  1. Check the item list and any missing lines.
  2. Distinguish item-level discounts from a discount on the whole purchase.
  3. Record the final amount and currency shown.
  4. Match later returns or credits to the original purchase without counting them as new spending.

What this looks like in practice

An equipment purchase of 1,000 followed by a 200 refund is not 1,200 of spending. Keep both documents so the adjustment remains explainable.

Illustrative guidance, not a measured accuracy result or a guarantee for every document.

Before you call it done

A store credit is not always a cash refund. Treatment of assets and deductible expenses belongs with your accountant or employer.
