Privacy Policy

Last updated: 2026-04-08.

Your data is secure. We use industry-standard practices to protect information. We do not sell your personal data.

1. Who we are

WorkSpotHQ (“we”, “our”, “us”) is a document and image tools platform operated by Nuronics Corp.. This policy explains how we handle personal information when you use our website and services.

2. Information we collect

Depending on how you use WorkSpotHQ, we may process:

  • Name and email — If you create an account, sign in with a magic link, or update your profile, we process the name and email address you provide (or that your identity provider supplies).
  • Tool inputs — Files you upload (e.g. PDFs, Word documents, images) and any text you enter into tools are sent to our systems to perform the operation you requested.
  • Usage data — Such as which tools you use, approximate usage counts or limits, errors, and product analytics events to keep the service reliable and improve features.
  • Device and browser data — Such as browser type, general device or network information, and IP address in server logs, for security, debugging, and abuse prevention.
  • Support and feedback — If you contact us or submit bug reports, we process the content you send.

3. How we use information

  • Provide the tools — To run conversions, edits, merges, and other processing you ask for.
  • Personalization — For example, showing your name when signed in, remembering preferences where we offer them, and tailoring the experience within the product.
  • Improvements — To understand how features are used, fix bugs, and develop new capabilities.
  • Communication — To send service-related messages (e.g. magic links, security notices). If you opt in, we may send product updates and marketing; you can opt out anytime where that option is offered.
  • Security and legal — To protect users, enforce our terms, and comply with law where required.

4. Account, terms acknowledgment, and marketing

When you use a WorkSpotHQ account, we may ask you to confirm that you agree to our Terms of Service and this Privacy Policy before you can use certain parts of the service. We record the time of that acknowledgment so we can demonstrate consent where required.

Marketing. Product updates and optional marketing messages are offered separately from account essentials. If you choose to opt in or out, we record your choice and when it was set. You can update marketing preferences in your account settings where we make that available.

5. Legal basis (GDPR)

If the GDPR applies, we rely on one or more of the following:

  • Consent — Where you agree (for example, optional marketing emails or non-essential cookies/analytics where we ask for consent).
  • Contractual necessity — To provide the service you request, including account and sign-in flows.
  • Legitimate interests — Such as securing the platform, improving the product, understanding aggregate usage, and preventing abuse — balanced against your rights.

6. Data storage and security

We use technical and organizational measures designed to protect personal data, including access controls and secure transmission where appropriate. Uploaded files and generated outputs are kept only as long as needed to complete your request and for short-term retrieval (for example, until you download or until automatic cleanup runs). We do not use your files to train public AI models or to sell them.

Retention. Account-related data is kept while your account exists and as needed for legal or operational purposes. Logs and analytics may be retained for a limited period. Temporary tool files are deleted according to our cleanup policies described on the site and in earlier versions of this policy.

7. Your rights (GDPR and similar laws)

Depending on where you live, you may have the right to:

  • Access — Request a copy of the personal data we hold about you.
  • Correction — Ask us to fix inaccurate or incomplete data.
  • Deletion — Ask us to delete your personal data, subject to legal exceptions.
  • Objection or restriction — Object to certain processing or ask us to limit it.
  • Portability — Receive your data in a structured, common format where applicable.
  • Withdraw consent — Where processing is based on consent, withdraw it at any time (this does not affect processing that was lawful before withdrawal).

To exercise these rights, contact us using the details in the Contact section below. You may also lodge a complaint with your local data protection authority.

8. California privacy rights (CCPA / CPRA)

California residents may have the following rights:

  • Right to know — What personal information we collect, use, and disclose.
  • Right to delete — Request deletion of personal information we hold, subject to exceptions.
  • Right to opt out of sale — We do not sell personal information as defined by the CCPA. We do not sell your personal data.
  • Non-discrimination — We will not deny services or charge different prices solely for exercising your rights.

To submit a request, use the contact information below. We may need to verify your identity before responding.

9. Cookies and advertising

We use cookies and similar technologies for essential site operation, preferences where applicable, and — with your consent where required — analytics and advertising. For example, we may work with advertising partners to show ads; those partners may use cookies or device data subject to their own policies. You can control cookies through your browser and through our cookie notice where offered.

Product analytics help us understand usage in aggregate. We configure analytics to respect your choices where our implementation allows (for example, loading certain tools only after you accept cookies).

10. Third-party services

We use service providers that may process data on our behalf, for example:

  • Hosting, infrastructure, and security vendors.
  • Authentication and email delivery (e.g. magic links).
  • Analytics and advertising platforms operated by third parties, under their policies and our agreements.

We choose providers with appropriate safeguards and use contracts or standard contractual clauses where required. Their use of data is governed by their privacy policies as well as our agreements with them.

11. International data transfers

We may process and store information in the United States and other countries where we or our providers operate. If we transfer personal data from the EEA, UK, or Switzerland to other regions, we use appropriate safeguards (such as standard contractual clauses) where required by law.

12. Children

WorkSpotHQ is not directed at children under 13 (or the minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have, please contact us and we will take steps to delete it.

13. Account deletion & retention

When you delete your account:

  • Your account is immediately deactivated and inaccessible.
  • Your personal data is retained for a limited period of 30 days to prevent abuse, allow account recovery, and comply with legal obligations where applicable.

After this period:

  • All personal data is permanently deleted or anonymized.
  • We retain only anonymized system logs that cannot identify you.

These logs are used solely for security, fraud prevention, and system performance.

14. Updates to this policy

We may update this Privacy Policy from time to time. We will post the new version on this page and update the “Last updated” date. For material changes, we may provide additional notice (for example, a banner or email). Continued use of WorkSpotHQ after changes means you accept the updated policy.
