Expenses

Total, paid and due are three different answers.

Read the labels before choosing an amount. An invoice total describes charges; amount paid describes settlement; balance due describes what remains. Credit notes and pro forma invoices need separate interpretation.

Put the answer to work

Check the tool’s supported inputs and limits before uploading. Account and plan requirements may apply. See plans.

Should I add paid and due?

They may reconcile to the total, but only when they refer to the same invoice and no adjustments are missing. Do not add them on top of the invoice total as additional spending.

How WorkSpotHQ helps

Receipt Processor

In Receipt Processor, add the receipt and choose Process receipt. Compare the editable details with the image. Use Adjust crop if the edges are wrong, or Re-read automatically if another reading is needed. Choose Save to My Receipts after checking the values; use Send now only after reviewing the report and recipients.

Your next steps

  1. Identify whether the document is an invoice, estimate, pro forma or credit note.
  2. Locate total charges, payments and remaining balance.
  3. Check discounts and whether tax is included.
  4. Report the value requested by your policy and keep the other facts available.

What this looks like in practice

Illustrative invoice: subtotal 100, tax 10, deposit 30, balance 80. The total is 110; the deposit and balance should not be added on top of it.

Synthetic worked example: item, value or document, and interpretation
ItemValue or documentWhat to check
Subtotal100Before tax
Tax10Invoice total becomes 110
Deposit paid30Already settled
Balance due80Remaining obligation

110 is the charge; 30 and 80 explain its settlement. Choose the fact requested by your report rather than calling every value total.

Before you call it done

The receipt tool is not a replacement for invoice accounting or tax advice. A pro forma document may precede the actual transaction.
