Expenses

Is a rental hold an expense?
Do not treat a temporary authorization as the final charge. Look for the settled rental invoice, then account for refunds and separately paid fuel, parking or tolls.
How WorkSpotHQ helps
Receipt Processor
In Receipt Processor, add the receipt and choose Process receipt. Compare the editable details with the image. Use Adjust crop if the edges are wrong, or Re-read automatically if another reading is needed. Choose Save to My Receipts after checking the values; use Send now only after reviewing the report and recipients.
Your next steps
- Collect the final ride or rental receipt rather than an estimate.
- Check fare, taxes, tolls, tips and service fees.
- Separate parking or toll receipts only when they are genuinely separate charges.
- Compare refunds and adjustments before submitting.
What this looks like in practice
A ride receipt showing a $24 total that already includes a $3 tip should not become a $27 expense. The same principle applies across ride-hailing providers.
A fictional ride with a later tip
| Item | Value or document | What to check |
|---|---|---|
| Trip charge | $24 | Check whether tolls or other fees are already included. |
| Later tip | $4 | Use the final receipt or payment update. |
| Final payment | $28 | 24 + 4 explains the settlement; do not add $28 again. |
| Temporary authorization | $30 pending | A pending hold is not evidence of another settled ride. |
Report the supported final charge according to your policy. Keep the trip date, currency and final receipt together, and distinguish a temporary hold from a completed payment.

Before you call it done
A card authorization may not be a settled charge. Brand-specific formats vary; always verify the extracted values.
