Expenses

An itinerary tells you where you went. Check what proves the payment.

Separate itinerary details from payment evidence. Check passenger, travel dates, fare currency and the actual charge, then handle baggage, seat and change fees as separate charges when documented separately.

Does the booking total include the extra fee?

Check whether the fee is included in the fare receipt or issued as a separate payment. Preserve both documents when necessary, but count the charge once.

How WorkSpotHQ helps

Receipt Processor

In Receipt Processor, add the receipt and choose Process receipt. Compare the editable details with the image. Use Adjust crop if the edges are wrong, or Re-read automatically if another reading is needed. Choose Save to My Receipts after checking the values; use Send now only after reviewing the report and recipients.

Your next steps

  1. Identify whether each document is an itinerary, receipt or boarding pass.
  2. Find the paid fare and any separately issued fees.
  3. Match refunds or changes to the original booking.
  4. Review the report for duplicate representations of the same fare.

What this looks like in practice

A ticket receipt for $300 and a separate $35 baggage receipt may support two charges. A boarding pass for that flight does not add another $300 expense.

A fictional flight with separately purchased baggage

Synthetic worked example: item, value or document, and interpretation
ItemValue or documentWhat to check
Fare receipt$420 including listed taxesFull fare, not an additional amount to add to the tax breakdown.
Baggage receipt$35 paid separatelyConfirm it was not already included in the fare.
Card statement$420 and $35Payment evidence for the same charges, not two more expenses.
Supported total$455 before any refundsLink both receipts and check your reporting policy.

The booking confirmation, ticket and card entry may all refer to one purchase. Keep the evidence together without counting the same charge multiple times. Check later cancellation credits before finalizing.
