Expenses
A ticket number is not a fare.
Find the fare paid and distinguish a ticket purchase from a stored-value top-up, pass balance or journey record. Check your reporting policy before treating every transit document as a separate expense.

Top-up or actual travel cost?
Keep those concepts separate. Ask whether reporting follows purchased credit or actual journeys; combining both can count the same money twice.
How WorkSpotHQ helps
Receipt Processor
In Receipt Processor, add the receipt and choose Process receipt. Compare the editable details with the image. Use Adjust crop if the edges are wrong, or Re-read automatically if another reading is needed. Choose Save to My Receipts after checking the values; use Send now only after reviewing the report and recipients.
Your next steps
- Identify the document as a ticket, pass purchase, top-up or travel history.
- Locate the fare, purchase date and currency.
- Exclude route numbers, ticket identifiers and remaining balance from amount fields.
- Check for overlap between a pass purchase and individual journey records.
What this looks like in practice
A $20 transit-card top-up followed by a $3 trip record does not necessarily represent $23 of reimbursable spending. The policy may require purchase-based or usage-based reporting.
A fictional transit-card sequence
| Item | Value or document | What to check |
|---|---|---|
| Credit purchased | $20 | Stored value added |
| Journey fare | $3 | Credit used |
| Remaining credit | $17 | Not a refund or new expense |
Do not sum these into $40 of spending. Determine whether the reporting policy tracks purchased credit or actual travel and retain the appropriate evidence.

Before you call it done
Some tickets do not name the purchaser or show all required payment details. Request appropriate evidence from the transport provider if necessary.
